By accessing or using our services, you agree to be bound by the following policies and disclaimers, which govern your use of our tools, resources, communications, and content. 1. Terms of Service (ToS) These Terms govern your use of the Total Optim Bid platform. By subscribing, you agree: You will use the service solely for lawful business purposes. You will not share login credentials or distribute proprietary content (e.g., templates, reports, digests, or commentary) without express written authorization. You assume full responsibility for the outcomes of any bids you pursue using our materials. Use of this service does not create any vendor, agency, or client relationship with any third-party entity referenced in our content. Violation of these terms may result in immediate suspension or termination of service without refund. 2. Privacy Policy We collect certain personal and business information—including name, email, company name, industry, and payment details—to operate the Total Optim Bid service. Your information is used to: Deliver personalized content, alerts, and digests Process payments and manage subscriptions Improve our platform through analytics We do not sell or rent your information. We may share data only with trusted third-party providers necessary for operations (e.g., CRM, email marketing, payment gateways). You may opt out of communications at any time by contacting contact@totaloptim.com. 3. Refund & Cancellation Policy All Total Optim Bid subscription plans (monthly or annual) auto-renew unless canceled prior to the next billing cycle. You may cancel anytime via your account dashboard or by emailing bids@totaloptim.com. Access to the platform will continue until the end of the active billing period. No prorated refunds will be issued for partial months. 4. Coaching & Strategy Session Policy [Updated: November 1, 2025] By purchasing or participating in any coaching or strategy session with Total Optim Solutions, LLC, you agree to the following legally binding terms: 4.1 Final Sale All coaching and strategy session purchases are non-refundable. No exceptions will be granted. 4.2 Scheduling Requirements Sessions must be booked using the official Total Optim Solutions scheduling platform. This ensures proper documentation and service delivery. Informal or ad-hoc scheduling requests will not be honored. 4.3 Rescheduling & Cancellation A minimum of twenty-four (24) hours' advance notice is required to reschedule a session. Requests received with less than 24 hours' notice are considered forfeited and will not be rescheduled or refunded. 4.4 No-Show Policy Failure to attend a scheduled session or cancellation without timely notice constitutes a forfeiture. No replacements or credits will be issued for missed sessions. 4.5 Monthly Subscriber Access Premium Subscribers are entitled to two (2) 45-minute sessions per subscription month. Enhanced Subscribers are entitled to two (2) 30-minute sessions per subscription month. Basic Subscribers are entitled to one (1) 30-minute session per subscription month. Coaching sessions must be used during the applicable billing month. Unused or partially used sessions do not roll over into future months. 4.6 Premium Strategy Review Benefit Premium Subscribers who maintain continuous active subscription for ninety (90) days or more are entitled to complimentary strategy review sessions. Strategy reviews are subject to availability and must be scheduled through the official Total Optim Solutions scheduling platform. 4.7 Policy Acceptance By booking or participating in coaching sessions, you acknowledge and agree to this policy in full. 5. Legal & Financial Disclaimer Total Optim Bid is an informational service. We provide curated listings, templates, and general strategy support. We do not offer legal, financial, tax, or proposal-writing services. By using our services, you acknowledge that Total Optim Solutions, LLC shall not be held liable for any business decisions, missed deadlines, unsuccessful bids, or financial outcomes arising from your use of our platform or materials. Please consult your legal, financial, or technical advisors for matters requiring professional oversight. 6. No Guarantee of Results Total Optim Solutions does not guarantee contract awards, shortlisting, or favorable bid outcomes. Our services are designed to support your efforts, not to replace your business judgment or compliance obligations. 7. Intellectual Property Notice All content made available through Total Optim Bid—including templates, digests, strategy guides, checklists, commentary, and internal tools—is the intellectual property of Total Optim Solutions, LLC. Use is licensed for active subscribers only and restricted to internal business purposes. No content may be copied, republished, resold, or redistributed without written permission. 8. Non-Affiliation Notice Total Optim Solutions, LLC is an independent service provider. We are not affiliated with, endorsed by, or representing any government agency, procurement portal, or private entity mentioned in our materials. All bid opportunities are publicly available or sourced through publicly accessible means. 9. Service Scope & Limitations Total Optim Bid is not a full-service consulting or proposal development firm. We do not submit proposals, represent clients in communications with agencies, or complete custom bid responses. If you need full-service support, we recommend hiring a qualified consultant or legal advisor. 10. Modifications to These Policies Total Optim Solutions, LLC reserves the right to modify these policies at any time. Material changes will be posted with a revised effective date. Your continued use of the service constitutes acceptance of any revised terms. Revision Notice: This document was originally effective July 1, 2025. The Coaching & Strategy Session policies (Section 4) were updated on September 9, 2025 and revised again on November 1, 2025 to reflect current subscription tier offerings and coaching allocations.
